POSITION DESCRIPTION Event Manager The Event Manager of Boscobel Restoration, Inc.
(d/b/a Boscobel House and Gardens) oversees the sales, planning, and/or execution of internal and external events, including private parties, corporate meetings and retreats, wedding ceremonies and receptions, commercial film and photo shoots, fundraisers, and food-related components of museum programming.
The EM deploys creativity and logistics acumen to create beautiful, on-brand experiences of Boscobel for guests and clients, and generates much-needed revenue to support Boscobel's mission.
S/he demonstrates exemplary organization, communication, and sales skills to collaborate effectively with colleagues, clients, and vendors; achieve the program's strategic and financial targets; and anticipate and resolve potential conflicts between the museum's site, mission, and operations, and client/vendor/guest expectations.
The EM reports to the Director of Visitor Engagement and may supervise one or more part-time Event Assistants.
The EM is the primary contact for event-related vendors and clients.
S/he works collaboratively with every museum department.
The Event Manager position is envisioned as a full-time, non-exempt position averaging 40 hours/week.
The schedule may fluctuate on a weekly basis; executing the combination of office work and logistics of specific events requires the Event department's workflow to span mornings, afternoons, evenings, and weekends.
All Boscobel year-round employees are expected to work periodic special events throughout the year.
Specific duties to be performed:
Develop a profitable, private rentals business that align with Boscobel's brand, upholds protocols for guest, staff, and site safety; enforce contractual terms including noise limits; and demonstrate professionalism and tact Actively, creatively, and successfully promote rental sales for private events and commercial film/photo shoots to meet brand standards, achieve income targets, and mitigate disruptions to museum operations Serve as the primary client and vendor contact before, during, and after private rental events, communicating in person and via phone and correspondence promptly, courteously, and clearly Coordinate all scheduling, space, staffing, and equipment needs with Director of Visitor Engagement, Facilities Manager, and other appropriate staff Communicate as clearly and promptly as possible event details internally and externally, including changes Lead event support staff and vendors to execute events to the highest possible standards Collaborate with Finance to collect required paperwork (including completed contracts, insurance forms, payments, and receipts, etc.
), and to develop and track budgets Collaborate with the Director of Communications and vendors to plan, evaluate, and maximize the efficacy of private rental marketing efforts, including gathering/sharing up-to-date details and images of potential spaces, facilities, services, etc.

Assist Development and Program teams (may include trustees, donors, and/or sponsors) with catered museum programs such as receptions, fundraisers, meetings, etc.
including, but not limited to:
working within a budget to secure catering, rental equipment, and d cor; working with teams to plan event logistics; developing sponsorship packages, etc.
Develop/maintain mutually beneficial vendor relationships Report monthly on event inquiries, bookings, budgets, attendance, marketing response rates, etc.

Qualifications:
Exceptional communication skills via phone, mail, email, and in person with a diverse variety of contacts Strong proficiency in Microsoft Office, social media and other promotional technologies, and the ability to operate Boscobel's scheduling and POS systems, as well as conference-related technologies such as speakers, projectors, etc.
Excellent time management skills, ability to multi-task and delegate Eagerness to learn, collaborate, and to lead and support teams Availability to work evenings, weekends, and holidays as needed At least 3-5 years in special events management and/or sales Must be physically and mentally able to perform the essential functions of the position, with or without reasonable accommodations.
Work entails moving about the 112-acre site, extended periods outdoors in all weather conditions, and the ability to lift and carry chairs, tables, and similar equipment, with or without reasonable accommodation.
